ODIO enables businesses to automate customer interactions through communication channels including WhatsApp Business API, Voice AI, Email AI, and related technologies. We are committed to protecting the privacy, confidentiality, and integrity of our customers’ and their end users’ data.
By accessing or using our Services, you agree to the collection and use of information in accordance with this Privacy Policy.
1Information We Collect
To provide, maintain, improve, and secure our Services, we collect information provided directly by our customers as well as information authorized through third-party integrations.
Business Account Information
When an organization creates an ODIO account, we may collect:
- Business name
- Organization details
- Administrator name
- Email address
- Phone number
- Billing information (where applicable)
- User account credentials
- Workspace configuration settings
Integration Data
When you connect third-party services such as Meta’s WhatsApp Business API, ODIO receives authorization to access only the information required to provide the requested services, including:
- WhatsApp Business Account (WABA) ID
- Meta Business Account ID
- Meta User ID
- API access credentials and tokens
- Webhook events
- Phone numbers
- Message metadata
- Media attachments
- Incoming and outgoing message events
We access only the information necessary to operate the integrations you authorize.
Communication Data
Depending on the ODIO products you use, we may process:
- Customer conversations
- Voice call transcripts
- Email conversations
- Chat messages
- AI-generated summaries
- Conversation dispositions
- Agent coaching insights
- Workflow execution logs
- Conversation analytics
Technical Information
We automatically collect certain technical information, including:
- IP address
- Browser type

This information helps us maintain platform performance, reliability, and security.
2How We Use Your Information
We use the information we collect solely to provide, operate, maintain, secure, and improve ODIO’s conversational intelligence and workflow automation platform. This includes processing data received through Meta’s WhatsApp Business API and other supported communication channels to deliver AI-powered conversations, conversation summaries, analytics, workflow automation, agent assistance, and organization-specific bot responses.
Your information is used to:
- Create and manage your ODIO workspace.
- Authenticate users and administrators.
- Connect and manage third-party integrations, including Meta’s WhatsApp Business API.
- Process customer conversations across WhatsApp, Voice AI, Email AI, and other supported communication channels.
- Generate AI-powered conversation summaries, call dispositions, analytics, coaching insights, and reports.
- Enable automated workflows, AI-assisted customer interactions, and multi-tenant organization-specific bot responses.
- Support customer-specific routing, workflows, and conversation intelligence.
- Improve platform functionality, AI performance, and service reliability.
- Detect fraud, abuse, unauthorized access, and security incidents.
- Comply with applicable legal and regulatory obligations.
- Provide technical support and respond to customer requests.
3Proprietary AI Processing (No Third-Party AI Sharing)
Unlike many platforms, ODIO utilizes a proprietary, highly secure in-house Large Language Model (LLM) based on the LLaMA architecture.
When customer conversation data is processed to generate AI-powered summaries, conversation intelligence, workflow automation, agent assistance, coaching insights, or call dispositions, processing occurs entirely within ODIO’s secure infrastructure.
We do not transmit customer conversation data to external public AI providers, including OpenAI, Google, or similar third-party AI services for inference. Customer data remains securely within the ODIO ecosystem.4Third-Party Services and Data Storage
ODIO operates on secure cloud infrastructure hosted by Amazon Web Services (AWS). AWS provides the infrastructure used to host our application, databases, storage systems, backups, and AI processing environment.
We implement strict logical and multi-tenant isolation to ensure that every organization’s data remains securely separated. Appropriate technical and organizational safeguards are applied to protect customer information against unauthorized access, disclosure, alteration, or destruction.
ODIO also integrates with third-party services, including Meta’s WhatsApp Business API, solely for the purpose of delivering the services requested by our customers. These providers process information only as necessary to enable the requested functionality and are governed by their own privacy policies.
5Data Security
We employ industry-standard administrative, technical, and physical safeguards to protect customer information from unauthorized access, disclosure, alteration, or destruction.
Our security measures include:
- Encryption of data in transit using industry-standard protocols.
- Encryption of data at rest within our cloud infrastructure.
- Secure authentication mechanisms.
- Role-based access controls.
- Infrastructure monitoring and continuous security assessments.
- Audit logging and activity monitoring.
- Secure backup and disaster recovery procedures.
- Multi-tenant data isolation to ensure that each organization’s information remains logically separated.
- Regular reviews and improvements to our security controls.
All customer data transmitted through WhatsApp Business API integrations or other communication channels is encrypted during transmission and while stored within our infrastructure.
Although no method of transmission over the Internet or electronic storage is completely secure, we continuously evaluate and strengthen our security practices to protect customer information.
Data Breach Notification
In the event of a personal data breach affecting customer information, ODIO will promptly investigate, contain, and mitigate the incident. Where required by applicable law, we will notify affected users and the relevant regulatory authorities, including the Data Protection Board of India where applicable, within the timelines prescribed by law.
6Data Retention
We retain customer information only for as long as necessary to provide our Services, fulfill contractual obligations, comply with applicable legal requirements, resolve disputes, and enforce our agreements.
Active Deletion
When a verified deletion request is received or applicable retention periods expire, data is removed from active platform interfaces, tenant workspaces, operational workflows, and AI processing systems.
Secure Archival
Certain encrypted backup copies may be temporarily retained for disaster recovery, auditing, legal compliance, or security purposes before being permanently deleted in accordance with our retention schedule.
7Data Deletion
ODIO takes your privacy seriously. If you wish to delete your account, remove your organization’s data, or disconnect your Meta/WhatsApp integration from the ODIO platform, please follow the instructions below.
Method 1 · Disconnecting ODIO via Meta/Facebook Settings
If you logged in using Meta or connected a WhatsApp Business Account to ODIO, you can revoke our application’s access to your Meta account at any time by following these steps:
- Log in to your Facebook or Meta account.
- Go to Settings & Privacy → Settings.
- Navigate to the Apps and Websites section under Permissions.
- Locate ODIO in the list of connected applications.
- Click Remove and confirm your selection.
Removing the application immediately revokes ODIO’s access to your Meta account. Please note that this action disconnects the integration but does not automatically delete any data that has already been processed or stored within the ODIO platform.
Method 2 · Requesting Complete Data Deletion from ODIO
To request the permanent deletion of your personal data or your organization’s data stored by ODIO, please email support@odioiq.com using the registered administrator email address associated with your account.
Please use the subject line “Data Deletion Request” and include the following information:
- Organization Name
- WhatsApp Business Account (WABA) ID
- Registered administrator email address
- Any additional information that helps us identify your account
Our team will verify your identity and authority before initiating the deletion process to protect your organization’s data from unauthorized requests.
What Happens Next
Once your request has been successfully verified:
- Your active platform data, including conversation logs, AI-generated summaries, workflow configurations, messaging metadata, account settings, and associated organizational records, will be permanently removed from active systems within 7–14 business days.
- Encrypted backup or archival copies retained for legal, security, disaster recovery, or compliance purposes will be permanently deleted after the applicable retention period in accordance with our Data Retention Policy.
- Once the deletion process has been completed, you will receive a confirmation email confirming that your request has been successfully processed.
You may also revoke ODIO’s access to your Meta account at any time by following the instructions provided under Method 1: Disconnecting ODIO via Meta/Facebook Settings.
8Your Rights
Depending on your jurisdiction and applicable law, you may have the following rights regarding your personal information:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your personal data.
- Restrict or object to certain processing activities.
- Request data portability where applicable.
- Withdraw consent where processing is based on your consent.
Residents of jurisdictions with applicable privacy laws, including India’s Digital Personal Data Protection Act, 2023 (DPDPA), may exercise their rights in accordance with applicable legal requirements.

10Children’s Privacy
ODIO is designed for businesses and is not intended for use by individuals under the age of 18.
We do not knowingly collect personal information from children under the age of 18. If we become aware that such information has been collected inadvertently, we will promptly delete it or take reasonable steps to ensure its deletion.

11International Data Transfers
ODIO operates using secure cloud infrastructure that may process or store information in multiple jurisdictions depending on operational requirements and service availability.
Where personal information is transferred across borders, we implement appropriate technical, organizational, and contractual safeguards to protect your information in accordance with applicable data protection laws.

We may update this Privacy Policy periodically to reflect changes in our Services, technology, legal obligations, or security practices.
